Refunding Unused Wallet Payments

In this article, you'll learn how to refund unused funds from a patient's wallet.

• If you are processing a refund via Cash or Check follow Steps 1 - 7

• If you are processing a refund via Credit Card, start with Step 1 and then jump to Step 8

NOTE: If no funds/payment were ever taken in the wallet, you cannot refund money from the wallet. It will need to be refunded from the ledger where the original payment was taken.

Step 1: Begin by clicking on the wallet tab located at the top of the patient's ledger.

Step 2: Identify the payment you need to refund and click the refund button on the left.

Step 3: The system will display the original deposit amount and the amount available for refunding.

Remember, you're only able to refund the money that's available in the wallet.

Step 4: Choose whether you're refunding cash or check.

Step 5: Enter the refund amount, if different than the wallet balance.

Step 6: If you're refunding by a check, input the check number.

Step 7: Add any internal notes and click record refund. The refund will then be noted in the patient's wallet ledger.

If a patient paid with a credit card in the wallet, follow these additional steps. NOTE: You can only refund a credit card payment back to the original source in the wallet. Meaning, if a patient pays with a credit card in their wallet, any refunds from the wallet payment will be put back on the card. 

Step 8: Click the refund button next to the credit card transaction you need to refund. It'll show you the credit card used for payment, allowing you to refund the money back to its original source.

Step 9: Enter the refund amount.

Step 10: Add any internal notes and click refund. The wallet ledger will show that the refund was processed back to the card used for the original transaction.

Remember, any payments made by credit cards in the patient's wallet must be refunded through the patient's wallet back to the credit card.

Congratulations! You've successfully processed a refund in the patient's wallet.
