Tags can be used to organize and filter for specific patient notes. Tags also show up on appointment cards when they are applied to a note that is set as an alert.
This article will walk you through the settings for your tags, how to apply them to patient notes, and how to use tags to filter your notes.
Tag Settings
To manage the tags that can be applied to a note, go to https://portal.archy.com/settings/notes/tags or navigate to your account Settings > Patient > Tags
Here, you will see all the tags your practice has. The tags with a lock icon next to them indicate tags that Archy will automatically apply to patient notes or appointments, such as Allergy, Premedication, or Birthday. You can still edit the icon and color used for these tags, but you cannot edit the name of the tag.
Tags without the lock icon next to them are fully customizable to your practice in name, icon and color.
All tags can be manually applied to any patient note. Tags with a lock icon are automatically added to certain patient notes.
Adding a new tag
To add a new tag, click the + icon
Label your new tag with a name, an icon, and a color, then click Save
Editing or archiving a tag
Click the tag you would like to edit. You can change the label, icon and/or color for all custom tags. You can change the icon and/or color for tags managed by Archy.
You can also archive a custom tag if you no longer wish you use it. Click the 3-dot menu for the tag and choose "Archive."
To unarchive a tag, click on Filters and choose to "Show Archive. "
You will then see all archived and unarchived tags in your list. Click the "Unarchive" icon to unarchive a tag. This tag will automatically reappear for any patient notes where the tag was previously applied.
Adding Tags to Notes
When creating a note for a patient, you can add tags by clicking the + icon
You can also add tags to existing notes by editing the note and selecting additional tags or removing existing tags.
The only tag you cannot remove from a note is the "Clinical" tag when a clinical note has been automatically added to a patient's appointment.
Filtering Notes by Tags
To filter for patient notes with specific tags applied, go to the patient's notes and click the filter button.
Select the tags you want to view and/or select "Show Archived" to see archived notes as well. Then click Save. The patient's Notes drawer will be filtered to show notes that have the specified tag added to them. For example, select the "Clinical" tag in the filter settings to see only Clinical notes.
