Custom Forms: Incomplete Forms Automation

In this tutorial, you'll learn how to set up and manage incomplete forms automations for scheduled appointments. This will ensure the necessary attached forms are sent to both confirmed and unconfirmed appointments.

When an appointment is scheduled, the necessary forms for that appointment will be automatically attached if you've already linked the forms with procedures.

These forms can be automatically sent to both confirmed and unconfirmed appointments.

To set up these automations, navigate to the communications tab on the left-hand toolbar.

Navigate to the Incomplete Forms Communication.

Here, you'll see default messages set up by Archy.

Make sure these messages are active when you're ready to start sending them out.

To create a new incomplete form automation, click on the + New Message option.

Select your event. This can be for either unconfirmed or confirmed appointments.

Set your timing.

You can choose the period of hours before, days before, or weeks before the appointment.

Choose the channel. This can be the patient's preferred method of contact (email or text), or you can set it up by text only, email only, or both.

After selecting your options, move to the right and select the SMS option.

Start creating your message. Use the forward slash key to use the available variables.

Make sure to include your forms link in the message.

If you're sending an email, select Email at the top and copy the SMS content into the email body.

Don't forget to enter a subject line.

Send yourself a test email to preview what it will look like.

Once you're satisfied with the message and settings, click Save.

Ensure it's active when you're ready for it to start sending.

If you need to make any changes to any of the current messages, select the three-dot menu and choose Edit.

Make the necessary changes and click Save.

Congratulations! You've successfully set up your first incomplete forms automation.
