Adding a surcharge to your patient's bill for using a credit card can be a convenient way to manage payment processing fees and lower your business costs. With Archy, depending on the location of your practice, you have the option to enable credit card surcharges.*

How it Works with Archy
If you decide to enable credit card surcharges, Archy will automatically apply a 3% surcharge to a patient's bill when they pay with a credit card. This means your office will pay 0% processing fees for credit card transactions, saving you money. However, standard processing fees for your office will still apply for other card types like debit, HSA, FSA, or prepaid cards.
You will also need to clearly alert patients about surcharges. You can download signage here.
When a patient is paying with a card at your practice, your Point-of-Sale terminal will show them a warning that looks like the image below. When a patient is paying online, the card information will be validated as a debit or credit card, and if it is a credit card, the patient will see the added 3% surcharge amount before they finalize the payment. The surcharge will only be applied if the card used is a credit card. Debit cards, HSA, FSA, and Prepaid Cards cannot be surcharged.
What You Need to Know About Surcharges
Before implementing surcharges, it's important to consider how it might impact your patients' experience and what your competitors are doing.
You'll also need to make sure you're disclosing the surcharge information clearly to your patients. You must disclose the surcharge for both in-store and online transactions, and clearly alert your patients about surcharges at the point of entry, the point of sale transaction, and on every receipt. Keep in mind that state and federal laws regarding surcharges may change, so it's essential to consult a legal professional if you're unsure about the regulations in your area. Archy can't provide legal advice, but we'll ensure that the necessary surcharge disclosures are displayed on statements, invoices, and receipts generated through our platform.
Remember, if your practice is based in Minnesota, you'll need to inform purchasers of the surcharge verbally at the time of sale and through a conspicuously posted sign on your premises. Learn more here.
States not supported for patient surcharging
*Please be aware that Archy does not support surcharging in certain states due to legal prohibitions or restrictions. These states include Colorado, Connecticut, Maine, Massachusetts, Oklahoma, New Jersey, New York, and Puerto Rico.
Payment Processing Fees with Surcharges Enabled
Surcharging is an added feature that costs $64/month and is available upon request, depending on where your practice is located.
For customers who choose to use our surcharge feature:
- Patients will pay a 3% surcharge on credit card transactions, and the merchant will pay 0%.
- The rate on non-credit card (e.g., debit, HSA, FSA, prepaid cards, etc.) transactions is 1.8% plus 30 cents per transaction.
Refunding with surcharging on
Patients who were charged in a practice where surcharging is on who then have their charge refunded will also have the surcharge refunded.
