Pre-Authorizations (Create/Attachments/Submit/Process)

In this tutorial, you'll learn how to create, manage attachments, send, and process a pre-authorization.

Start by creating a draft pre-authorization. There are two methods to do this.

Method 1: Navigate to your patient's account.

Proceed to their claims center.

Choose Pre-Auths in the upper left, and then click on the + Pre-Auth in the upper right corner.

Select the items from their treatment plan that you want to add and click send.

This action will create a draft of the pre-authorization.

Method 2: Navigate to their charting.

Open their treatment plan.

Select the items you wish to have on the pre-authorization.

Then, select the Send procedures to Pre-Auth button.

This action will create your draft pre-authorization.

Once the pre-authorization is created, if there are any attachments required, you'll see those listed below.

Click Add attachments.

If you need to attach images, select images.

Then use the drop-down next to the mount you wish to view.

Select any of the images you need to attach.

Then, click Review.

Then, click Upload.

If there were any others, such as a narrative or a perio chart, repeat the following steps.

Click Modify attachments.

If you need a narrative, select Narrative and type your narrative in the box indicated on the right.

If you need a perio chart, select Perio Chart.

Select the chart you're looking for from the drop-down on the left, and add it as an attachment on the right. and hit review and upload.

You also have the option of Other.

Here you can scan, upload, or select from Archy any other documents you need to attach.

Once you've added all your attachments, you can add any remarks. Up to 400 characters.

Then click Submit to submit your Pre-Authorization.

Once the pre-auth has been sent, navigate to the claims center for your patient.

Select Pre-Auths.

Here you will see the status of the pre-auto is sent.

If you go to their charting and open their treatment plan, you'll see under the pre-auth column the status of sent.

When you receive a pre-authorization back, go into their charting and into their treatment plan. Select the three dots next to each procedure and hit Edit estimates.

Here you'll see the pre-authorization status, and you'll select if it's approved or denied.

Enter the pre-auth number that should go on the claim.

Next, you'll enter what the insurance is going to pay, the patient estimate, and if there's a deductible. Then click Save.

Complete these same steps for each procedure on the treatment plan. Once you finish, you'll see the new status in the pre-auths column, with the insurance and patient estimate reflecting accordingly.

In the claim center under pre-auths, you will see it's been marked as received.

Congratulations! You've just created your pre-auth, managed the attachments, sent your pre-auth, and processed it.
