Processing a Single EOB

Handling Explanation of Benefits (EOBs) is an essential part of managing insurance claims. Follow these steps to process a single EOB in your claim center with confidence.

Go to the Claims Center on the left-hand toolbar.

Click Sent at the top to see submitted claims.

Find the claim for the patient. Use the search bar in the upper right to locate it quickly.

Click on the claim to open it to review that all procedure details are correct before moving forward.

Click the three dots on the right, then choose Process EOB.

Enter the total insurance payment as shown on the check, EFT, or virtual credit card. This is the actual amount paid by insurance.

Scan or upload the EOB document.

After uploading, the EOB appears at the bottom. Edit its name if needed by clicking the pencil icon.

Click Next to continue.

Review the total insurance payment, patient responsibility, insurance carrier, and attached documents.

To add more claims, click the plus (+) button and search for each additional claim.

Expand the claim using the drop-down on the left.

Next, enter the insurance payment in the appropriate column.

The patient responsibility updates automatically to reflect negotiated rates. Make any changes, if necessary.

Make sure the total insurance payment is correct (for example, $56) and that the system shows a green check mark to confirm matching amounts.

Click Next.

On the review page, verify all claim details—patient responsibility, insurance payment, and any tags or comments that might be needed. Adjust the claim status if required: leave as completed, mark as open, or select needs attention for further review.

When everything looks correct, click Next.

Select the payment method: EFT, check, virtual credit card processed through Archy, or Card via Non-Archy Terminal. Card via Non-Archy Terminal means you are processing the credit card through a third-party software.

Enter all payment details, including the bank name, and check or EFT number.

NOTE: The payment date should be the date you are processing the payment. It is not recommended that you change this date.

Click Finalize to complete EOB processing.

Congratulations! Your single EOB is now processed.

If you need to edit or review a processed EOB:

Choose EOBs from the left menu.

Select Completed to find recently processed EOBs.

The most recently processed EOB will be at the top.

Click the three dots, then select View to open the EOB.

Click the Edit icon in the Total Insurance Payment section.

Edit details as needed—insurance payment, payment method, date, bank name, or check/EFT number. Be sure to save your changes.

NOTE: The date should only be updated if it was not the date the payment was posted.

Click the Paperclip icon to edit or add any EOBs.

Scan or upload any additional EOB details. Remember to save any changes.

Remember: Voiding a processed EOB isn’t possible. If adjustments are needed, add a positive or negative adjustment as an additional payment. For help on adjustments, check videos covering additional payments on claims.
