If your practice is migrating to Archy, you might be wondering how to handle claims that were open in your previous PMS. We understand this can be a bit confusing, but don't worry— we've outlined simple steps to guide you through the process.
It's important to note that during the migration, Archy transfers all patient balances into the system, but does not carry over any outstanding claims balances. So, if you have any open claims in your legacy PMS, you have two options to consider.
Option 1: Process the remaining open claims in the legacy PMS. (RECOMMENDED)
If you want to account for each procedure specifically, you can choose to process the remaining open claims in your legacy PMS. This can be a good option if you prefer to keep your records separate for easy tracking.
Option 2: Process the remaining open claims in Archy.
If you choose to process the remaining open claims in Archy, here's what you need to do:
- Create an Adjustment Type called Transfer. To do this, go to Settings -> Payments -> Custom Adjustments. Then click on Add Adjustment Type at the Bottom. Create an adjustment like the one in the example. Make sure it is a Charge adjustment.

Create an adjustment that adds a CHARGE to the patient balance: To do this, you'll need to navigate to the patient's account in Archy and create an adjustment that will add a charge to their balance. This charge should equal the amount of the payment you received from the insurance company for the claim.

Select the adjustment type TRANSFER: Once you've created the adjustment, you'll need to select the transfer adjustment type. This will allow you to transfer the payment from the insurance company to the patient's balance in Archy.

Create an Invoice with ONLY the transfer adjustment: Now that you've created the transfer adjustment, you'll need to create an invoice that includes ONLY the transfer adjustment. This will ensure that the payment is applied correctly to the patient's balance.
- To create the invoice, click the 3-dots next to the transfer adjustment and select Create Invoice. Then click Create & Collect.

Process the invoice with the payment type: Finally, you'll need to process the invoice with the payment type that the insurance company used to send you the payment. This could be a virtual card, a check, or some other payment type. Once you've processed the payment, the patient's balance in Archy will be updated accordingly.
By following these simple steps, you can easily process claims that were open on your prior PMS in Archy. This will ensure that your patient records are up-to-date and accurate, and that you can easily track all of your financial transactions in one place.
