Pre Appointment Automations

In this article, you'll learn how to set up pre-appointment automations that remind patients about their upcoming appointments.

Navigate to the Pre-Appointment tab.

Archy will have a few defaults already set up under the Messages section.

Ensure they're active once you are ready for the automations to start sending.

To create a new automation, click on New Message on the right side of the screen.

Choose the event that triggers the message. It could be when an appointment is requested, an appointment is created, confirmed, or unconfirmed.

After selecting the event, decide on the timing of the message.

You can choose Instant for immediate sending once the event is triggered.

You can also choose Wait and then set a delay in hours, days, or weeks.

Next, select the channel for sending the message. This is how the message will be sent.

Options include the patient's preferred communication method, text only, email only, or both text and email.

You also have the option to add specific appointment procedures to the message.

If a particular procedure or set of procedures should be linked to the appointment for the automation to send, select them from the procedures list.

Then select what the automation should look for. 'Contains Any' will be sent if any of the selected procedures are present in the appointment. 'Contains All' will be sent if at least all of the selected procedures are present. 'Exactly Matches' will be sent if the procedures exactly match those present in the appointment.

Now, select the Text option.

Begin typing your message.

Use the forward slash key to enter variables for personalizing the message.

After finishing your text, select the Email option.

If you want to use the same message from the text, click on Copy SMS Content.

Enter your subject line.

You can send a test email by clicking the Send icon.

Enter your email, and click Send.

Once all settings and messages are filled out, click Save. Make sure your new option is turned on.

If you need to edit existing automations, click the three dots next to them and select Edit. Remember to save any changes.
